1. Introduction
WhiteSteed LLC ("Company," "we," "us," or "our") operates SermonScribe (the "Service"), a web-based platform that helps pastors and religious speakers transform sermon content into book manuscripts. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our Service. Please read this policy carefully. By using SermonScribe, you agree to the collection and use of information as described in this policy.
2. Information We Collect
Personal Information
When you register for an account or use our Service, we may collect the following personal information:
- Name and email address
- Account credentials (passwords are encrypted and never stored in plain text)
- Billing information (processed securely through Stripe; we do not store credit card numbers)
- Profile information such as biography and author preferences
Content Data
In the course of using the Service, you may upload or create the following content:
- Sermon notes, transcripts, and manuscripts
- Book project data including chapters, citations, and formatting preferences
- Images uploaded to the platform
- Author style preferences and export settings
Automatically Collected Information
We do not run analytics software. Our hosting provider records standard server logs when you access the Service, which contain:
- IP address
- Browser type and version (user agent)
- The pages or API endpoints requested, and the time of the request
These logs exist to keep the Service running securely and to diagnose errors. We do not use them to build a profile of you or to track you across other websites.
3. How We Use Your Information
We use the information we collect to:
- Provide, maintain, and improve the Service
- Process your subscription payments through Stripe
- Send you transactional emails (account verification, password resets, subscription confirmations)
- Process your content through AI-powered features (sermon-to-chapter conversion, content refinement, citation detection)
- Respond to your inquiries and provide customer support
- Monitor and analyze usage trends to improve user experience
- Protect against unauthorized access and ensure platform security
4. AI Processing
SermonScribe uses artificial intelligence to help transform your sermon content into book-ready manuscripts. When you use AI-powered features (such as chapter generation, content refinement, citation detection, or cover generation), the content you submit is sent to our AI processing providers — Anthropic (Claude), OpenAI (GPT Image, which makes cover art) and Google (Gemini) — for analysis. This happens only when you invoke one of those features; we do not send your content for AI processing in the background. We do not use your content to train AI models, and our providers are contractually bound not to train on it either. Your content is processed solely to provide the requested feature and is not retained by the AI provider beyond what is needed to complete the request.
5. Data Sharing and Disclosure
We do not sell your personal information. We may share your information only in the following circumstances:
- Service Providers: We use third-party services including Supabase (authentication and database), Vercel (hosting and image storage), Stripe (payment processing), SendGrid (email delivery), and — for the AI features described in Section 4 — Anthropic (Claude), OpenAI (GPT Image) and Google (Gemini). These providers access your data only to perform services on our behalf and are contractually obligated to protect your information.
- Editors You Invite: If you share a book with one of our approved editors (see Section 9 of our Terms of Service), that editor can see the book you shared, the sermons and citations linked to it, and your profile (your name, email address, and author biography). They cannot see your other books, your password, or your billing information. An editor with edit access may use AI features on that book, which sends its content to the AI providers described in Section 4. Their access lasts until you remove it or it ends on the date you set.
- Legal Requirements: We may disclose your information if required to do so by law or in response to valid requests by public authorities.
- Business Transfers: In the event of a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction.
- With Your Consent: We may share your information for any other purpose with your explicit consent.
6. Data Security
We implement appropriate technical and organizational measures to protect your personal information against unauthorized access, alteration, disclosure, or destruction. These measures include encrypted data transmission (SSL/TLS), secure authentication protocols, encrypted password storage, and access controls limiting data access to authorized personnel. However, no method of transmission over the Internet is 100% secure, and we cannot guarantee absolute security.
7. Data Retention
We retain your personal information and content data for as long as your account is active or as needed to provide you the Service. If you delete your account, we will delete your personal information and content data within 30 days, except where we are required to retain it for legal or legitimate business purposes (such as resolving disputes or enforcing our agreements).
8. Your Rights
Depending on your location, you may have the following rights regarding your personal information:
- Access: Request a copy of the personal information we hold about you
- Correction: Request correction of inaccurate or incomplete information
- Deletion: Request deletion of your personal information and account
- Data Portability: Export your content through our built-in export features (PDF, EPUB, DOCX)
- Opt-Out: Unsubscribe from marketing communications at any time
To exercise any of these rights, please contact us at admin@sermonbuild.com.
9. Cookies and Tracking
We use only essential cookies and local storage. Specifically: a session token that keeps you signed in, and preferences you set yourself (such as light or dark theme and your export formatting choices). These are stored in your own browser and are required to provide features you have explicitly requested, so we do not ask for consent to use them.
We do not use analytics, advertising cookies, or tracking pixels. We do not track you across other websites, and we have no third-party analytics provider. Our payment provider (Stripe) may set cookies necessary for secure payment processing when you visit a checkout page.
Embedded video. An author may add a YouTube or Vimeo video to their public book page. We do not load the video player, and neither provider receives any information about you, unless you click play. If you do click play, that provider loads its own player and may set its own cookies, which are governed by their privacy policies rather than this one. You can view any book page in full without playing the video.
10. Children's Privacy
SermonScribe is not intended for individuals under the age of 18. We do not knowingly collect personal information from children. If we become aware that we have collected personal information from a child under 18, we will take steps to delete that information promptly.
11. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of any material changes by posting the new Privacy Policy on this page and updating the "Last updated" date. Your continued use of the Service after such changes constitutes your acceptance of the updated policy.
